Job Purpose: The Facilities Manager is responsible for leading and overseeing the management, maintenance, safety, compliance, cleaning and operational efficiency of all campus facilities, infrastructure, utilities, and support services. The role ensures that buildings, grounds, equipment, and security systems are maintained to agreed standards through effective management of internal teams, contractors, and service providers, while driving cost control, resource optimization, statutory compliance, risk management, business licensing requirements, and continuous improvement initiatives to provide a safe, secure, and conducive learning environment..
Duties & Responsibilities
- Oversee the maintenance and upkeep of all school buildings, facilities, grounds, and infrastructure to ensure they remain safe, functional, and fit for purpose.
- Manage preventive and corrective maintenance programmes for buildings, equipment, utilities, and other physical assets to minimize downtime and disruptions.
- Supervise internal maintenance, housekeeping, grounds, and security teams to ensure service delivery standards are consistently achieved.
- Coordinate and manage contractors, suppliers, and service providers, ensuring work is completed to agreed specifications, timelines, and quality standards.
- Develop and monitor facilities and maintenance budgets, ensuring effective cost control, resource optimization, and value for money.
- Ensure compliance with all statutory, regulatory, health and safety, environmental, and business licensing requirements applicable to the school's operations.
- Identify, assess, and mitigate facilities-related risks, implementing appropriate controls to safeguard people, property, and organizational assets.
- Oversee security operations and systems, including access control, surveillance, emergency preparedness, and incident management, to maintain a secure learning environment.
- Manage utilities and support services, including water, electricity, waste management, transport coordination, and other operational services to ensure uninterrupted school operations.
- Drive continuous improvement initiatives by identifying opportunities to enhance operational efficiency, sustainability, service quality, and the overall learning environment for students, staff, and visitors.
Minimum requirements
Education & Work Experience
• Bachelors Degree in Business Administration, Operations Management, or a related field
• Master’s degree preferred
• Master’s degree preferred
• Strong working knowledge of facilities management principles, building maintenance, utilities management, and infrastructure operations.
• Sound understanding of relevant Kenyan legislation and regulatory requirements, including OSHA 2007, WIBA, Public Health Act, Fire Safety Regulations, Environmental Management requirements, and building compliance standards.
• Experience managing outsourced service providers and contractors, including security, cleaning, landscaping, maintenance, waste management, and catering services.
• Sound understanding of relevant Kenyan legislation and regulatory requirements, including OSHA 2007, WIBA, Public Health Act, Fire Safety Regulations, Environmental Management requirements, and building compliance standards.
• Experience managing outsourced service providers and contractors, including security, cleaning, landscaping, maintenance, waste management, and catering services.
Skills, knowledge, abilities & values
• Demonstrated ability to manage facilities budgets, monitor expenditure, and identify cost-saving opportunities without compromising service standards.
• Strong knowledge of risk management, business continuity planning, emergency preparedness, and incident response procedures.
• Ability to investigate and resolve facilities-related incidents, service disruptions, and operational challenges in a timely and professional manner.
• Willingness and ability to travel between campuses and sites as required.
• Valid driver's licence with a clean driving record.
• Availability to respond to emergencies, critical incidents, and urgent maintenance issues outside normal working hours when required.
• Competence in the use of Computerised Maintenance Management Systems (CMMS), asset management systems, Microsoft Office Suite, and facilities reporting tools.
• Ability to interpret technical drawings, maintenance specifications, contracts, service level agreements, and compliance documentation.
• Experience managing preventative maintenance programmes and statutory inspection schedules.
• Ability to work effectively with senior leadership, school administrators, regulatory authorities, auditors, contractors, suppliers, and external stakeholders.
• Strong report-writing, analytical, and presentation skills.
• High level of professional integrity, discretion, and confidentiality when handling sensitive operational, financial, and employee-related information.
• Physically capable of conducting site inspections, assessing facilities, and monitoring contractor activities across the campus.
• Commitment to safeguarding, child protection, and maintaining a safe learning environment for students, staff, parents, and visitors.
• Demonstrated ability to lead and manage diverse teams, including technical and non-technical staff, while fostering a culture of accountability and service excellence.
• Ability to manage multiple priorities simultaneously while maintaining high standards of service delivery and compliance.
